Cancellation and payment terms

These cancellation and payment terms applies for reservation made to Santasport Finland Oy and Santasport Lapin Urheiluopisto. These conditions are binding for both parties (Santasport and the customer = booker of services) once the customer was made a booking. You may receive the confirmation in writing, through our booking system or verbally. The individual making the booking must be an adult.

In case of duplicate condition, the condition given in reservation confirmation is always valid.

Accommodation

Reservations made by consumers

Room rate

Room rate includes the services stated in reservation confirmation.
Check in starts for Sporthotel at 15:00 and for Apartments at 16:00.
Check out at departure day by noon.

Pets

Pet rooms are available on request for extra charge. Further information from Santasport Sales: sales@santasport.fi / +358 20 798 4222. Pet rooms are available only via Santasport Sales or reception. Any bringing of pets to the accommodation must be mentioned when making the booking. The customer is responsible for picking up all pet droppings left in the grounds and compensating for any damages incurred by pets on the property or its fittings and furnishings direct to the owner. Any damages caused must be immediately informed to Santasport. Pets are allowed only in the pet rooms. A booked Santasport Apartment accommodation can be changed for Pet room by request, subject to availability of pet rooms. Extra charge of Pet must be paid at reception with cash or credit card at the time of check in.

Payment and cancellation terms**

The whole reservation is to be paid on one bill. Payment has to be made at the time of reservation or at check in by cash and/or credit card. With separate agreement the reservation can be invoiced. Payment method and cancellation terms depends on the price agreed at the time of booking. Specified information on the section “Rates”.

Group reservations (more than 5 rooms) cancellation policy of “group reservations” applies.

Flexible

  • Change or cancel the reservation free of charge until 18:00 hotel time on the day of arrival.
  • If you do not show up and you have not cancelled the booking in advance, or if you cancel after 18:00 local time, you will be charged for one night’s accommodation.
  • Payment at the time of check-in or via Santasport.fi prior arrival.

Non-refundable

  • Web price, can only be booked through our website.
  • Booking is changeable for free but non-refundable and can’t be cancelled. Booking can be changed once free of charge.
  • Dates of booking, number of nights, room type and number of persons can be changed. Single reservation can’t be changed for multiple reservations.
  • Re-booking that results in a higher price than already paid: Difference in price must be paid at check-in.
  • Re-booking that results in a lower price than already paid will not be reimbursed.
  • Changing of booking is allowed until 18:00 Finnish time on arrival day.
  • Payment with credit card at the time of making a reservation.
  • To change a booking, contact our reception.

Campaign code -reservations:

  • Reservations are made with campaign code if any discount or campaign code is used at the time of reservation. Also in this case, if reservation is prepaid the “Prepaid reservation” terms are applied no matter  if campaign code is used.
  • In other case Room reservation can be cancelled free of charge 14 days prior to arrival.
  • If you do not show up and you have not cancelled the booking in advance, or if you cancel after 14 days prior to arrival, you will be charged for one night’s accommodation.
  • Procedure in case the campaign code is valid only for invidual event or competition participants: If the event/competition would be cancelled, the room reservation can be cancelled free of charge until 18:00 hotel time on the day of arrival.

Other reservations:

  • Unless otherwise is agreed, the policy below applies. Exception is for group reservation, where terms for group reservations are applied.
  • Change or cancel the reservation free of charge until 18:00 hotel time on the day of arrival.
  • If you do not show up and you have not cancelled the booking in advance, or if you cancel after 18:00 local time, you will be charged for one night’s accommodation.

Additional services reserved through santasport.fi at the same time with accommodation: Accommodations cancellation and payment terms are equally applied for.

Group reservations

Cancellation policy of group reservations. Reservation is group reservation, when more than 5 rooms have been booked.

Non-refundable reservations

  •  Terms of non-refundable rate applies.

Other reservations

  • When the cancellation is made latest at 61 days prior to arrival: Cancellation fee 10 % of the total price of reservation.
  • When the cancellation is made 60-31 days prior to arrival: Cancellation fee 50 % of the total price of reservation.
  • When the cancellation is made less than 31 days prior to arrival: Cancellation fee 100 % of the total price of reservation.
  • Payment has to be made by one bill. Payment can be made by credit card or invoiced with separated agreement. Payment terms are based on rate selected at the time of reservation.

The client should send a full list of names for people using the accommodation, their room requirements and the itinerary for the occasion by email no later than seven (7) days prior to the arrival. Rooms are at the disposal of customers from 3pm on the day of arrival to 12am on the day of departure.

Reservations with more than 15 rooms, reservation terms must be agreed separately.

Sudden illness or hindrance

In case of a sudden illness / injury / death of a close relative or your travel party that might lead to a cancellation, you should make sure that your travel insurance will cover the costs of the booking. Even in such cases our booking conditions are as mentioned above. We recommend our guests to have a travel insurance in case of an emergency or unexpected incident.

COVID 19 – Travel Restrictions and Flight Cancellations

The customer does not have the right to deviate from the booking and cancellation terms and conditions and does not have the right to cancel their booking on the basis that the customer that made the booking or the guests are not able to arrive at the accommodation at the booked arrival time as a result of the travel restrictions imposed by Finland or the country of departure as a result of the COVID-19 epidemic. Travel restrictions do not count as “Force Majeure” events/circumstances, as international and regional travel restrictions which are due to the COVID-19 epidemic are not unforeseen. In this situation, the customer’s cancellation and no-shows will be subject to the standard booking and cancellation terms and conditions.

The above also applies in the event that the customer or the guests cannot enter Finland due to the cancellation of flights or changes in schedules. Flights may be cancelled and rescheduled due to the COVID-19 epidemic, and are not “Force Majeure” events/circumstances as these circumstances are not an unforeseen situation.

The rights of Santasport to dissolve the agreement

If the customer fails to adhere booking, cancellation or payment terms and conditions, Santasport has the right to regard the booking cancelled and the agreement dissolved.

Santasport has the right to dissolve the Agreement or interrupt the provision of services in the case of force majeure, including events such as fire, natural disaster, official authoritative actions, strike or any other similar event that may not be predicted or any reason beyond the control of Santasport that prevents the event from being carried out or otherwise makes the provision of services difficult.

If the agreement is dissolved by Santasport, the customer will be reimbursed all sums paid to Santasport, and if the provision of services is interrupted, the services that were not implemented will be reimbursed. Santasport will in inform the customer without delay of such prevention of the implementation of services.

Damage, complaints and resolving disputes

The number of persons specified in the reservation confirmation must not be exceeded.

The customer is obliged to inform Santasport reception or its representative of any possible deficiencies noticed that can be rectified during the use of services. Any other complaints that cannot be resolved during the stay, and any demands for compensation need to be made in writing to Santasport within a period of fourteen (14) days from the end of the provision of services. Santasport is not responsible for third-party defiencies such as water distribution, electricity outages, internet connection or TV outages. Possible disputes will primarily be resolved by mutual negotiation. If the customer and Santasport fail to reach an understanding for the rectification of the matter, the customer may file a complaint with The Consumer Disputes Board for resolution. Contract complies with Finnish law.

Santasport Finland ltd and Santasport Lapin Urheiluopisto are not responsible for any changes that occur after the publication of these terms and conditions, beyond our control. Rights to make changes are reserved.

 

Sports and wellness camps and courses

Cancellation terms

  • Registration is binding and cancellation must be always made in written form.
  • Change or cancellation of the registration until 14days prior to camp/event, 10% cancellation fee will be charge.
  • Change or cancellation of the registration made less than 14days prior to camp/event, 50% cancellation fee will be charged.
  • Cancellation can be made free of charged any time before camp/event by providing medical certificate, written by authorized medical doctor.

Agreement entering into force

The organizer and Santasport Lapin Urheiluopisto reserves the rights to make changes for these terms. In case of not having enough participants for the camp/course, the organizer and Santasport Lapin Urheiluopisto has the right to cancel the camp. In such case the customer will be reimbursed all sums paid to the organizer or Santasport Lapin Urheiluopisto.

These terms apply to camp and course registrations made to Santasport and when no other contract between Santasport and the customer has been made. These conditions are binding for the organizer of the camp, Santasport and the customer once the customer had made an accommodation booking. You may receive the confirmation in writing, through our booking system or verbally. The individual making the booking must be an adult and the booking can be made for children.
